Monitor activity

Review participant and team names

To review participant names:

  • Go to Admin Searches and choose search type "Participants."
  • Click the search button.
  • Usernames are listed for each participant in your county.
  • If a participant name needs to be edited, see Edit participant info.
  • If a participant needs to be deleted, see Delete a participant.

To review team names:

  • Go to Admin Searches and choose search type "Team."
  • Team names are listed for each team in your county.

Note: You can only search and edit information for your county.

Review all county stats (team/indiv)

To review team statistics:

  • Go to Admin Searches and choose search type "Team."
  • Teams may be sorted by name, weekly total, and total miles.

To review individual statistics:

  • Go to Admin Searches and choose "Individual."
  • Results may be filtered by last name, role, age, and account.
  • Results may be sorted by name, weekly total, and total miles.

Identify this week's top performer (team/indiv)

Via County Administration tools:

  • To identify top team performer:
    1. Go to Admin Searches and choose search type "Team."
    2. Choose the appropriate week in the "Sort by" menu.
    3. Click the search button.
  • To identify top individual performer:
    1. Go to Admin Searches and choose "Individual."
    2. Choose the appropriate week in the "Sort by" menu.
    3. Click the search button.

Note: The data collected via County Administration tools may fluctuate due to participant activity entry at any point in the program.

Identify the overall top performer (team/indiv)

To identify top team performer:

  1. Go to Admin Searches and choose search type "Team."
  2. Sort by "Total Team Miles."
  3. Click the search button.

To identify top individual performer:

  1. Go to Admin Searches and choose "Individual."
  2. Sort by "Total Miles."
  3. Click the search button.

Isolate results by age group

Go to Admin Searches:

  1. Choose "Individual" or "Participants."
  2. Select the appropriate age category.
  3. Click the search button.

This is useful to:

  • Determine the top performer for a particular age group.
  • Count how many participants exist for each age group in your county.
  • See roles that are being used in each age group.
  • Collect email addresses by age group.

Isolate results by participant role

Go to Admin Searches:

  1. Choose "Individual" or "Participants."
  2. Select the appropriate participant role.
  3. Click the search button.

This is useful to:

  • Determine the top performer based on role.
  • Count how many participants exist for each participant role in your county.
  • View only team captains or individuals.
  • Collect email addresses by participant role.

Isolate results by group name.

Go to Admin Searches:

  1. Choose "Team", "Individual" or "Participants."
  2. Enter all or part of the known group name in the Group Description field.
  3. Enter the group type if you wish to narrow the results further (note: it may be too restrictive).
  4. Click the search button.

This is useful to:

  • Determine the top performer within a large group.
  • Count how many participants/teams exist for a particular group in your county.
  • Collect email addresses by group name.

Go to Admin Searches:

  1. Choose "Team", "Individual" or "Participants."
  2. Select the appropriate Group Type from the drop-down menu.
  3. Click the search button.

This is useful to:

  • Determine the top performer based on group type.
  • Count how many participants/teams exist for each group type in your county.
  • Collect email addresses by group type.

Contact participants

Email participants

Go to Admin Searches and choose search type "Participants."

  • Each participant's email address is listed after their name.
  • Select "Email" to send a message to all participants in the search results.

Note: Participants' email addresses are also included on individual and team pages.

Email team captains

Go to Admin Searches and choose search type "Team."

  • This provides a list of all teams in your county.
  • Select "Email" to send a message to all team captains in the search results.

Go to Admin Searches and choose search type "Participants."

  • This provides a list of all participants in your county.
  • Sort by participant role "team captain."
  • All team captains are listed by name.
  • Select "Email" to send a message to all team captains in the search results.

Email a team

Go to Admin Searches and choose search type "Team."

  • Choose a team name from the search results.
  • Each team page includes a feature to email the entire team, scroll to the bottom of the page to choose "Email Roster."

Note: All highlighted team names link to the team page.

Email other county administrators

Go to Admin Searches and choose "Admins."

  • Select a county to find a specific administrator or leave county information blank to display all county administrators.
  • Click on "Search."
  • Select "Email" to send a message to all county administrators in the search results.

This is useful to:

  • Coordinate with an administrator in a neighboring county or across the state.
  • Communicate information with other administrators.

Manage participant information

Edit physical activity logs

Go to Admin Searches and choose search type "Participants":

  • Choose a participant from the search results to access the participant's individual page.
  • To enter information:
    1. Choose which week to edit. You cannot pre-enter information.
    2. Choose an activity from the drop-down list for the appropriate day.
    3. Add the correct minutes.
    4. Choose "Submit."
  • To delete information:
    1. Choose which week and day to edit.
    2. Click "delete" by the activity that needs to be removed.

You may also ask the participant or the participant's team captain to delete incorrect information.

Retrieve a password

Passwords cannot be retrieved by this system. However, any participant may change their password with their email address and username (see Forgotten Password and Retrieve a username).

Reset a password

You will not be able to reset a password for any person. Direct the participant to Forgotten Password.

Retrieve a username

Participants may now look up their own usernames. You may do either of the following items.

1. Direct the participant to our Forgotten username form.

OR

2. Go to Admin Searches and choose search type "Participants."

  • Enter the participant's last name.
  • Click the search button.
  • Usernames are listed for each participant.

This is useful if a participant forgets their username and cannot log in.

If a team member needs to reset their password, they will need to identify themselves with this username. You can look up a username for a team member, but you cannot reset a password.

Team captains can also see the usernames for their team members.

Resend account invitation email (team members only)

Ask the team member or team captain for the participant's full name and correct email address.

Go to Admin Searches and choose search type "Participants."

  1. Enter the participant's last name.
  2. Click the search button.
  3. Locate the correct participant and select their team name.
  4. Choose "Edit" beside the Team Roster title.
  5. Locate the correct participant.
  6. Confirm that the participant's email address is correct. If incorrect, edit the address.
  7. Check the box in the "Acct Email" column for the team member*.
  8. Click "Submit."
  9. A new email message will be sent to that team member.

*Note: If there is no checkbox in the team member's "Acct Email" column, that team member has successfully created an account and does not need a new account invitation (see Viewing a team member's account status).

This is useful if a team member:

  • Has not created a participant account.
  • Lost or had problems with a previous account invitation email.
  • Has not received this message and needs their email address edited (see Editing team member information).
  • Has received a system message to request this email from their team captain.

If a team member appears to have problems creating an account after the team has been registered, this invitation email may need to be resent.

Team captains can also resend account invitations using this tool.

Only team members may have account invitation emails resent to them. All other participant types should follow the "Create an Account" instructions from the home page.

Edit participant information (name, email, username)

Go to Admin Searches and choose search type "Participants."

  1. Enter the participant's last name.
  2. Click the search button.
  3. Choose the participant from the search results to access his or her individual page.
  4. Scroll to "Edit Participant Info" at the bottom of the participant's page.
  5. Edit his or her name, email, or username.
  6. Select "Submit Changes."

This is useful if a participant:

  • Enters the wrong information for any of these fields.
  • Has not received an account invitation email because the email address is incorrect (see Resending an account invitation email).
  • Has entered inappropriate information for any of these fields.

If editing is necessary, please communicate your actions with the participant and their team captain, if applicable.

Among participants, only team captains may see a team member's username. Otherwise, the username is private to the participant and is not publicly accessible in the system.

Delete a participant

Go to Admin Searches and choose search type "Participants."

  1. Enter the participant's last name.
  2. Click the search button.
  3. Choose the participant from the search results to access his or her individual page.
  4. Scroll to "Edit Participant Info" at the bottom of the participant's page.
  5. Select "Delete Participant."

This is useful if a participant:

  • Has accidentally created two accounts and needs to have the extra one deleted.
  • Is creating problems in the system and needs to be removed. I.e. – continuously entering exaggerated information, entering inappropriate participant information after your intervention, etc.

Note: It is possible that a participant may have created both an individual and a team member account – if this is the case, communicate with the participant to determine his or her appropriate role in the system. You can also view their mileage to determine which role is being used.

Team captains who have formed teams and team members cannot be deleted using this method. You must delete them all as a team.

Delete a team

Go to Admin Searches and choose search type "Team."

  1. Locate the correct team and select its name.
  2. Select "Edit" beside Team Roster.
  3. Select "Delete Entire Team" beneath the team roster.

This deletes the team and all associated team members.

Change a participant role

Registered accounts may not change roles, but new accounts may be created under a new role during the registration period.

During the registration period:
If a participant accidentally registers as the wrong participant type, they may re-register for a different participant type (see Delete a participant for removing duplicate accounts). Any recorded activity will NOT be migrated.

After the registration period:
New or replacement participant accounts may not be made.

Register someone after the registration period

Registration ends Mar. 5, 2010. No one may be registered after this point.

Download data for your county

From Admin Searches:

  • Choose any search type.
  • Select "Download."

This downloads a spreadsheet for the data that you've chosen to display. The spreadsheet can be opened in Excel or Access.

This is useful if you would like to save information about your county's participation in the program. In this case, be sure to download all search types.
